Legal Assistance of Western New York, Inc. (LawNY) has an immediate opening for a Regional Grants Administrator.  LawNY is a not-for-profit law firm providing civil legal services to low-income clients in a 14-county area of western New York. LawNY’s mission is to increase access to justice through excellent legal representation, advocacy and service.  The LawNY business office is located in downtown Rochester and it is preferred that the position be housed in that office.  LawNY has flexibility, however, and the position may be housed in any of the six LawNY rural offices located in Bath, Elmira, Geneva, Ithaca, Jamestown and Olean.

In 2022, LawNY projects receiving revenue exceeding $15 million through more than 80 separate contracts with federal, state, county and city agencies and private funders such as area United Ways and foundations. The Grants Administrator has primary responsibility for grants administration and compliance. While reporting to the Deputy Director for Operations, this position also works closely with the chief financial officer, managing attorneys and office administrators, and will join a team of three Grants Administrators.


Responsibilities: These are the most significant responsibilities and primary functions of the position


  • Develop and maintain grant summaries and compliance schedules.  
  • Prepare programmatic and fiscal reports relating to grants in collaboration with advocacy and fiscal staff.  
  • Schedule and facilitate meetings to ensure staff receive timely information to understand and implement grant requirements.  
  • Participate as needed in program visits and calls from funders.
  • Schedule and facilitate monitoring visits with subcontractors. 
  • Generate statistical reports as required by funding sources or for internal audit or planning purposes.
  • Participate in data collection efforts.
  • Assist in the development, implementation, and coordination of office procedures and systems to ensure compliance with funder guidelines and successful completion of project deliverables. 
  • Assist in compiling information related to grant proposals.
  • Assist in development and submission of grant proposals.
  • Able to address issues in a timely manner.
  • Able to meet deadlines and to take initiative in the development and completion of projects.
  • Able to quickly adapt and prioritize multiple demands on time.



  • At least two years of experience that is directly related to the duties and responsibilities specified and a demonstrated commitment of service to the community are required.
  • Proficient knowledge of Google Suite, Microsoft Office software and Windows computer applications is required.




  • Experience with utilizing a case management database for reporting purposes.
  • Must be able to work with frequent interruptions and work on multiple projects simultaneously.
  • Must be detail oriented and be able to work both independently and as part of a team.
  • Must be able to exercise judgment, take initiative and maintain confidentiality.
  • Must possess advanced writing skills.
  • Must be able to effectively organize and monitor a successful workflow to meet required deadlines.
  • Able to serve as an advocate for individuals of all ethnicities, genders, ages and backgrounds.

Salary: Salary is dependent on experience. The salary for a full time Administrator who is credited with ten years of experience is $45,615. The salary will increase annually based upon LawNY®’s salary scale.
